FINAL NOTES FOR STAGING/TECH/DRESS REHEARSALS
AND PERFORMANCES
Location & Attendance:
- Venue: Sandy Amphitheater: 1245 East 9400 South Sandy UT 84070
Entrance for Check-In/Out: Arrival Instructions for Dancers:
- All audience members and parents should park in the parking lot outside of the black gated area on the northwest side and walk dancers in and out to check in and out.
- Once you enter through the gates, head up the stairs. You'll go through the main door at the top, where you'll find the dancer check-in/check-out desk just inside.
- Attendance: All rehearsals and performances are mandatory.
Check-In/Out Procedures for Staging, Dress Rehearsal and Performances:
- CHECK-IN: All dancers must check in. Dancers must enter through the stage door located at the back of the Amphitheater. Arrive “performance ready.”
- Audience members will enter through the gate at the west side of the Amphitheater and will not pass the check-in table. Only dancers and scheduled volunteers will be allowed past the check in/out desk.
- CHECK -OUT: All Dancers are in the finale and will check out at the end of the ballet. The ballet is 1.5 hours long.
- Ages 12 and Under:Must be checked out by a parent/guardian. Siblings cannot check out these dancers.
- Ages 13 and Older:May check themselves in and out.
- We kindly ask for your patience during check-in and check-out and that you follow the established procedures. Dancers must check in and check out for staging, dress rehearsals, outreach events, and all performances.
- Safety:The check-in/out area is crowded after performances. Avoid using it for meet-and-greets or photos.
- Restricted Access: Unauthorized individuals, including parents who are not scheduled volunteers, are not allowed in the holding rooms or backstage during rehearsals or performances.
- MWB has established check in and check out procedures for the safety of the dancers. Please be patient during check in and check out and please follow the established procedures.
- BE ON TIME: Dancers must be on time for all dress rehearsals and performances.
- BE READY: Dancers must arrive at the appointed time “Performance Ready” meaning dance clothes for under their costume already on, make-up and hair done. Do not plan on doing it once you arrive at the Amphitheater. Dancers must wear street clothes (top and bottom) over their dance clothes. We want you to look like a professional. Dancers, please have extra bobby pins in your bags to secure head pieces.
Policies:
- Rehearsals: Closed to parents and unauthorized persons unless scheduled as volunteers.
- Photos/Videos: No photos or videos in the auditorium, backstage, or on stage. Follow MWB on Instagram and Facebook, where photos of dancers will be posted throughout rehearsals and throughout the production. These photos and those taken in holding areas must credit MWB: “costumes copyright Mountain West Ballet”or “photo courtesy of Mountain West Ballet.”
- What is probation? Probation means that during the next MWB production, the dancer will be on probation. If the dancer fails to follow another rule while on probation, he/she will not be permitted to audition for the next MWB performance.
Costume, Hair, & Makeup Requirements:
- Specific requirements are on www.mountainwestballet.org.
- Items to be Checked off:
- At Staging: Required Leotard, tights, shoes and lip color.
- At Dress: Required Hair and makeup.
- The adult that is doing the dancer’s hair and makeup must accompany the dancer to dress rehearsal.
- No nail polish, earrings, or jewelry allowed.
- Hair nets are mandatory unless style prevents.
- Avoid bright/unusual hair color.
Key Dates:
Saturday, May 3: Staging Rehearsal 12-4 pm
- ***Required leotard, tights, and shoes will be checked off at Staging so bring them with you (but do not wear nude leotard and keep tights in package so color may be checked). **
- Everyone is expected to stay the entire time. Many parts go on and off throughout the ballet.
- Wear regular leotard and dance clothes (no nude leotards).
- Staging rehearsal will take place outside. Please dress appropriately for the weather (pants, jackets, blankets if needed or sunscreen).
- Please keep cell phones handy, so dancers may call when they are done, if we finish early.
- Dancers may bring water, small personal items, and books to stay busy while waiting.
- Dancers must stay within the auditorium area at all times—no going outside the gates or into the basement.
Any dancer who does not follow the rules will have their parent called and must have a parent stay with them at the amphitheater.
Thursday , May 8: Dress Rehearsal & Share the Arts Night-Call 6:30 ends: 9:30 PM
- Required make-up and hair will be checked off at Dress Rehearsals and the adult that is doing the dancer’s hair and makeup must accompany the dancer to dress rehearsal.
- Water allowed, no food.
- Full hair, makeup & costume
- Mountain West Ballet’s “Share the Arts Night” invites organizations to bring ill, immunocompromised, and underserved children and their families to enjoy a complimentary ballet performance in a safe and welcoming environment.
PERFORMANCES:
Friday, May 9 – call for all dancers: 7 pm. Performance: 8:00 pm
Saturday, May 10- Call for all dancers 1:00 pm; Performance 2 pm
Saturday, May 10 – call for all dancers: 7 pm. Performance: 8:00 pm
Monday, May 12– call for all dancers: 7 pm. Performance: 8:00 pm
DANCERS ARE NOT PERMITTED TO WATCH PERFORMANCES:
- All dancers are part of the finale and will remain backstage for the entire duration of the show. For this reason,dancers will NOT be permitted to be checked out or leave their assigned areas to watch the ballet from the audience.
- We appreciate your understanding as we work to maintain a smooth and professional performance experience for all.
- Thank you for helping us keep the magic alive on and off stage!
SAFETY REMINDER:
Dancers must remain in their designated dressing rooms and holding areas when not performing. Loitering backstage or in the wings is not allowed, as it poses a safety risk. The tech crew requires clear pathways to quickly and safely manage curtains, props, and stage transitions.
OUTREACH PERFORMANCES:
FRIDAY MAY 9, 9:00 AM-11:00 AM- OUTREACH
Call time for all dancers is 9:00 am. Dancers will be finished by 11:00 am.
The following dancers will perform in outreach this year:
Butterflies, Changeling Child, Dragonflies, Fairy soloist (Peaseblossom, Cobweb, Moth, Mustard Seed), Fairy Corp, Fireflies, Midsummer Maidens, Mist, Helena, Mortal Couple,
Hermia, Mortal Couple, Demetrius/Mortal Couples, Lysander/Mortal Couple, Oberon, Pixie Queens only, no Pixies, Puck, Rustics, Titania, Bottom/Thespians, Thespians & Woodland Fairies
- Dancers’ parents, friends or family members are not permitted in the auditorium or backstage during Outreach.
RESPECT AND CONDUCT EXPECTATIONS:
- Dancers and families must show respect to Artistic Staff, cast members, volunteers, and others involved in the production. Excessive talking, tardiness, disruptive behavior, or failure to follow directions may result in dismissal. Parents—please review expectations with your dancers. Disrespect will not be tolerated.
- Anyone who damages props, costumes, or scenery will be held liable for replacement costs.
- No eating or drinking is allowed while in costume or in dressing/holding areas. Costumes are costly and often part of a matching set—damage may require replacing the full set at your expense.
Volunteer Instructions
- All volunteers (except ticket booth and Gala volunteers) check in at the check in desk (same as the dancers) located on the west side of the amphitheater.
- All volunteers, please park in the west side parking lot (outside of the black gates).
- Training: Instructions will be provided upon arrival.
- Check-Out: Return your badge when your shift ends.
- Responsibilities:
- Arrive on time, stay the entire shift, and do not bring guests/children.
- If unavailable, find your own replacement (family, friend, or parent). Board members cannot provide substitutes.
- Mom Helpers:
- Stay until all assigned dancers check out (all dancers are in the finale).
- Quiet activities are allowed to entertain dancers. Please no markers or anything that could stain the costumes or make a mess.
- Thank you for your time and dedication!
Tickets
- Purchase tickets online at www.mountainwestballet.org.
- Tickets are only available online or at the theater box office 1 hour prior to performances.
Cast Party – Lunch will be served
- Date/Time: Saturday, May 10, 3:30–4:30 PM.
- Location: held in the grassy area just north of the dancers’ entrance of the Amphitheater (not at the park next to the water feature).
- Details:
- Cast and crew only. Dancers receive souvenir posters (bring markers for autographs).
- Dancers 12 and under:
- Dancers 12 and under must be checked out by a parent/guardian after the matinee to attend the Gala.
- Dancers 13 and older may check themselves out after the matinee.
- No volunteers are available to supervise dancers after the matinee ends.
- Sibling Exception for the Gala:
- Siblings 13+ may check out siblings 12 and under for the Gala only (not for rehearsals or other performances).
- This exception does not apply to cousins or carpool friends.
- Parental Responsibility: Parents are responsible for their dancers during the Gala. MWB Board Members and volunteers are not responsible.
T-Shirts:
Distributed at full run through. Wear them to promote the production!
Photos:
- No professional photo session will be available for this production. Stage Photos will be available on the website Photo Gallery shortly after the production ends. To access the gallery, please read the article “Photo Gallery” under the “dancers” section of the website.
- Photos may only be taken in the holding areas and dressing rooms. These photos may be posted online but credit must be given to MWB (which means you must include this language “Costumes copyright Mountain West Ballet (MWB)”)

Digital Video
- Performances on May 10th evening will be recorded.
- Each dancer receives a digital download of their Cast’s performance.
